Who we are
Velocity XAI is an AI implementation studio based in Pune, India, building voice agents, conversion-focused websites and automation systems for businesses. This policy explains what happens to information you share with us through this website, by email, or during a booked strategy call.
What we collect
Information you give us: your name, email address, company name, phone number where you provide one, and the details of the project you describe in our contact form or during a call. We only ask for what we need to reply usefully.
Booking information: when you schedule a call, our scheduling provider (Calendly) processes your name, email and selected time slot so the meeting can be created and confirmed.
Technical information: standard server and hosting logs such as IP address, user agent, requested page and timestamp. These exist to keep the site available and secure, not to profile you.
How we use it
To respond to your enquiry, prepare for and hold a strategy call, scope and deliver work you engage us for, and keep records required for accounting and contractual purposes. We do not sell your data, and we do not use contact form submissions to build advertising audiences.
We may send follow-up messages directly related to your enquiry. We do not add you to a marketing list without you asking for it, and any such message includes a way to opt out.
Who we share it with
We use a small number of processors to run the business: hosting and site delivery, email, scheduling, and spreadsheet or CRM storage for enquiries. Each receives only the data needed for its function, and each is bound by its own data-processing terms. We disclose information beyond this only where the law requires it.
How long we keep it
Enquiries that do not become projects are kept for up to 24 months so we have context if you come back, then deleted. Project and billing records are kept as long as required by applicable tax and contract law. Server logs are rotated on a short schedule by our hosting provider.
Cookies and analytics
This site does not use advertising cookies or cross-site tracking pixels. Where an embedded third-party tool (such as the scheduling widget) sets its own cookies, that happens only after you open it, and is governed by that provider's policy.
Your rights
You can ask us what information we hold about you, request a correction, request deletion, or ask us to stop contacting you. Email hello@velocityxai.com and we will action reasonable requests within 30 days. If you are in a jurisdiction with statutory data-protection rights, this policy does not limit them.
Security and changes
We keep access to enquiry data limited to the people who need it, use reputable providers with encryption in transit, and review access when engagements end. No transmission over the internet is perfectly secure, so please avoid sending credentials or sensitive personal data through the contact form.
